Surveys (Online Surveys and Experiments)

Online survey and experimentation system specifically designed for psychological research, compliant with GDPR and the Ethics Committee standards of the faculty.

The system not only allows the use of standard questionnaires but also complex experimental procedures. It enables random presentation of stimuli, reaction time calculations, longitudinal studies, matching, go/no-go tests, complex score calculations, participant feedback, all while ensuring data anonymization. All hosted on the SEGI cloud.

The application is accessible to all staff and students with the approval of an academic sponsor. Already more than 600,000 participants have taken part in a survey or experiment in our system.

Access to this system is restricted to faculty, staff and student.

Management of Ethics Committee Files

All students writing a thesis and all researchers planning a study must obtain approval from the faculty's ethics committee. The number of files to be processed each year exceeds 500. The system in place allows:
• researchers/students to submit a file, upload documents, and monitor the status of their file;
• thesis/dissertation supervisors to validate and monitor the status of their students' files;
• committee members to read, review, evaluate, and ask questions;
• the chairperson to make the final decision.
The system is interfaced with the thesis management system to alert supervisors and prevent students from having a jury and submitting a thesis on Mathéo that has not been approved by the ethics committee.

Management of Theses and Defense Schedules

Since 2006, we have developed a system for electronic submission of theses, jury assignment, and scheduling of defense times.

Since then, Mathéo has emerged, and we have integrated our thesis project management, jury selection, and ethics committee validation system with Mathéo's submission process.

We then integrated Mathéo with our defense scheduling and schedule publication system. Recently, students can consult proposed thesis topics by professors starting from M1 and register for the thesis course partim 1. This allows the thesis project to be set, a supervisor to be assigned, and students to be better distributed among different supervisors.

Management of B3, M1, M2 Internships

Master's students in Speech Therapy and Psychology must complete one or two internships in M1 and M2. In Speech Therapy, they must also complete internships in B3.

This brings the number of internships to be managed in the faculty to over a thousand per year. As internships are primarily external, finding placements for all students has become increasingly difficult, and we face stiff competition from other universities. The system in place allows:
• professors to manage their internship supervisors, internships, internship locations, and publish available internships for the academic year;
• students to choose an internship with professor validation, complete their internship reports, track hours, and obtain an internship certificate;
• the administrative assistant to manage lists of internship supervisors, send them supervisor certificates, contact and support them. They can also manage the workflow of a student's file from internship choice to certification;
• the department can manage conflicts, which can lead to the banning of an internship supervisor.

Management of the Psychological Clinic CPLU

The IT unit has developed a system for managing the university's psychological and speech therapy clinic. The system includes several modules:
• Management of consultation rooms with a priority system for certain clinicians at specific times.
• Management of the clinic's schedule.
• Management of appointments, including SMS or email reminders and recurring appointments.
• Management of clinicians, including their availability.
• Management of patients, including their files + EID interface.
• Management of group therapies.
• Management of the clinic's accounting and patient payments.
• Management of billing between clinicians and the CPLU, and between the CPLU and patients or paying organizations, with SAP data synchronization.
• Management of data security, including encryption and detection of abnormalities in file access.
• Management of adverse events.
• Management of services, clinicians in relation to authorized services and their rates.

Printing System (Ticketing)

The IT unit has set up a printing service for students. This system allows those with credit to use the UDI's color laser printer in the Piaget room and the A3 printer at Cafeim.

The credit is linked to the user ID. The system automatically manages your credit based on your prints. The cost of color printing is 15 cents, black and white A4 printing is 5 cents, and A3 printing is 10 cents. The system provides real-time visibility into the cash balance and transaction history for complete transparency.

Virtual Anthropology Labs for Prof. Poncin

This application allows students to manipulate 3D objects representing primate skulls. They can study their characteristics, age, names, and identification criteria. They can also self-test.

Mobile Application for Life Questionnaires

This tool enables ecological momentary assessments. It allows for the repeated and real-time measurement of various variables (thoughts, emotions, behaviors, physical state, and context) in the participant's natural and changing environment. The tool also enables ecological momentary interventions by sending real-time notifications prompting action from the participant/patient. The application is under development for iOS and integrates with our web application Surveys. The app is available on the Apple App Store and Google Play Store.

Test Library

Although managed by the library network, the test library is too specific to fit into existing IT tools. At the library's request, we created an application to manage tests (search for a test, manage loans, test contents, missing elements, available forms, etc.).

Archiving Request on MassStorage

When a researcher wants to archive their study, they place their files on the developed platform. The system performs a series of checks to clean and standardize the files.

The goal is to ensure these data will be accessible in 50 years. The researcher must provide information about these data. It is necessary to ensure that from a file, the study details can be retrieved (role of the XML file included with the archive on MassStorage) and that from a study, the data files can be retrieved (role of the SQL database on our server).

Once the file is complete, the researcher requests archiving. The archivist (designated by the UR) verifies everything and either returns or accepts the file. The archivist places the files sent by the researcher on MassStorage and indicates where the file is recorded in the SQL database.

Belenos

The IT unit has developed since 2005 a system for encoding, tracking, and managing intervention requests. The system includes a user interface for encoding, tracking, and discussing IT issues.

A management interface reserved for UDI staff allows maintaining a database of the faculty's machines and keeping track of all interventions on these machines. It also builds a database of solutions to enable quicker interventions.

File Sharing

This system was developed before the introduction of DOX. It allows sharing files over the internet.

Files are grouped in the form of a web page with a title, description, subtitles, and files that also have titles and descriptions. This sharing can include an ID and password for correspondents to insert files (with notification). Files are automatically deleted (with notification).

Clinical Certification System

Access to the profession of clinical psychologist is regulated; only students who have completed the clinical specialization can access it. This application allows the administrative assistant to generate all certifications after deliberation, and thanks to a QR code, an employer can verify the authenticity of a certification.

This platform aims to provide non-academic staff with a certification listing all supervision tasks related to courses. This tool was developed in collaboration with the Academic Affairs department at the request of the Vice-Rector in charge of teaching.

Woccq (WOrking Conditions and Control Questionnaire)

Collective diagnostic method for work-related psychosocial risks developed by Prof. Isabelle Hansez. We created the online version of the questionnaire in 2006. This questionnaire is still active and used by many companies, even in Russia... This has helped finance some researchers and their theses.
